Dear RDA Working and Interest Group Chairs,

Further to the cancellation of the 15th Plenary Meeting from 18-20 March 2020, together with the local organising committee, the RDA Technical Advisory Board and RDA Secretariat, we would like to honour and build on the huge amount of work that you have all invested in preparing your breakout session meetings and your participation at the event.

From 18th March to 10th April 2020 we will be facilitating the organisation of a virtual Plenary (VP 15) meeting, offering session convenors the opportunity to organise and participate in virtual breakout sessions.

If you and your group(s) had a session planned for Plenary 15, and are now interested and willing to organise a virtual breakout session, we kindly invite you to fill in the form below by Friday 3rd April at 23.59 UTC, and in particular:

  1. Identify a free, suitable slot. We ask you to check the current timetable here and find a suitable timeslot among those still available. The RDA Secretariat will allocate sessions on a first come, first served basis.  Note, please only review this timetable and do NOT attempt to add your session (see next step below).  
     
  2. Indicate your suggested time slot(s) and additional details using the form below.  Note: Multiple time slot requests to accommodate time zones are acceptable.    
     
  3. Confirm your need for a Virtual Connection system. The RDA Secretariat is offering 4 Zoom accounts to allow different meetings to run in  parallel. Please confirm whether you would like to use one of the provided Zoom accounts

Within 24-48 hours of your submission, the RDA Secretariat will send confirmations to the applicant chair of the time and session for the virtual meeting.

Once you receive confirmation, we ask that you inform your group and update your Group's space with the meeting details (date, time, remote access details, agenda, etc.). 

The RDA Secretariat will facilitate the coordination of the logistics, organisation of meeting rooms, creation and updating of the main schedule for VP 15.  The RDA TAB will support the session chairs in the organisation of the meeting. The Group chairs are in charge of communicating with their respective Groups.
