RDA VP18 Poster Presenter Instructions Video

Access to Gather.Town
RDA VP18 will be using the platform Gather.town to facilitate this poster exhibition. Links to the RDA Gather.town space will be emailed to poster presenters the week of 25 October 2021, as long as presenters are registered for the meeting. You will not be required to configure anything within the Gather.town space, but we do urge you to access the link once available to you and familiarise yourself with the platform.
Poster Format and Specs
For this poster exhibition, we would like to encourage you to be as creative as possible. The format of your poster can be any one of the following:

a pdf

a video (YouTube, Vimeo, Twitch (livestreaming), or anywhere with HTTPS and a video embed link. If your video cannot be uploaded to a Google drive, you can send us a link with your video at secretariat@rda-foundation.org.

an image: the image must be: in .png, .jpg, .webp format at least 1000px for the width, at least 600px for the height, max 3MB in size. We recommend a minimum DPI of 72, but this is not a requirement. All images will be enlarged to fill inside of an iframe, so exact dimensions and proportions are not required. Transparent backgrounds will be filled with a black background.

a PowerPoint presentation (via Google Slides)

a Google Document with multiple resources listed within. You are free to make this as interactive as you like!
We ask that you upload one file only, if possible.
The RDA Secretariat will compile the materials and set up your poster board for you.
How to send us your poster
We ask you to provide us with your poster in whatever format you choose by 15th of October, end of your day. Please upload your poster file/s in this Google Drive by the deadline above: https://drive.google.com/drive/folders/138EG-VuM2eiNvd9PP-a1WBAclZOx2GD2?usp=sharing. Please ensure the name of the file clearly states the title of your poster and your poster number as shown in https://www.rd-alliance.org/rdas-18th-plenary-poster-exhibition.

Poster exhibition and minute madness
The poster exhibition space on Gather.town will be open and available to all at all times. We will urge attendees to browse the poster boards during down times and breaks. You are free to arrange meet-ups around your poster board as you wish.
There will be two Minute Madness sessions taking place at RDA VP18. These sessions will be held on Zoom. You will be able to access these zoom links both from Whova (RDA VP18’s virtual event platform) and from Gather.Town. These will be informal sessions, where you will be asked to share your screen if you wish, and present your work in one minute only. You may choose to use one slide. The aim of the sessions is to give presenters the opportunity to highlight their work, make attendees aware of their poster submission, and provide a forum which will hopefully encourage follow up conversations in Gather.Town, and if time allows, questions at the end of the session.
You can choose to take part in one or both sessions, or opt out completely. You can select which session to participate in by completing the sign-up sheets below:

The order of presentation will be based on your poster number as listed at https://www.rd-alliance.org/rdas-18th-plenary-poster-exhibition.
If you wish to participate, please add your name on the sign-up sheets provided above by 1 November 2021. These sign-up sheets will help the Secretariat coordinate the moderation of the sessions.
If you plan on taking part in a Minute Madness session, please arrive at the session 15 minutes before the start time, and your moderator will be able to assist.
