RDA's 17th Plenary Meeting - Instructions for poster presenters

If you haven’t done so already, please register for the Plenary at https://rdavp17.eventbrite.co.uk. Links to the VP17 virtual platform will be emailed to poster presenters that have already registered for the Plenary on 5 April 2021. This event website link will allow you to start building your poster area on the platform. 

If you haven’t registered yet, a link to the event website will be forwarded to you within 48 hours of registration. If you have registered for the Plenary, but have not received a link to Juno Live, please contact secretariat@rda-foundation.org

To ensure you have sufficient time to develop your poster area, we encourage you to register as soon as possible.  

  1. Setting up your poster booth

Once you have access to the virtual platform, please: 

  • Log in to Juno Live using the link that was sent to you via email. 
  • Once in your dedicated poster area, click on the ‘edit’ button at the bottom left of your screen.
  • Use the different tabs and menu options to upload videos, slides and various other files and resources.
  • Please note your rotator images should be : 775x475
  • To upload a pdf, please use the 'resources' menu in your editing screen.
  • You can also link to specific sessions, if they are connected to your work, and select your co-authors from the list of attendees, if they are registered and attending the Plenary. 
  • Click 'save changes' to view your poster. 

Please ensure your poster and resources are uploaded on the Juno Live platform by 16 April 2021 latest (deadline extended). This will allow VP17 organisers and the Juno Live team to complete any necessary reviews to ensure best quality for your booth. 

Guidance for setting up your booth: 

You will also be able to set ‘office hours’ indicating your availability to be reached at your booth. We will be encouraging attendees to visit your booth during breaks. Utilising this functionality will allow you to indicate exactly when you will be stationed at your booth and ready to discuss your poster! 

We strongly recommend that you record a short video of yourself presenting your poster, and upload it on your booth using the ‘add rotator’ feature. This will allow attendees to hear about your work without your presence being required.

  1. Poster sessions and presentations at VP17

Although attendees will have the option to view your poster at anytime during the Plenary, there will be two designated poster sessions: 

1 - Tuesday 20 April 2021, 17:15 - 18:15 UTC: Minute Madness & Poster Hall exploration 

We invite you to give a short, one-minute presentation of your poster. 

The organisers will compile all presentations, and screen-share during the Minute Madness on your behalf, to ensure the smooth running of the session. Upon your turn, we will ask you to unmute and speak to your poster for one minute. If you have confirmed your participation to us by 12 April, the order of presentations will be communicated to you in advance.

The duration of the Minute Madness session will depend on the level of expressions of interest that will be received as a response to this communication. Following the presentations, attendees will be encouraged to visit the poster hall and browse the poster entries. We invite you to set your Juno Live availability accordingly, to ensure you are contactable during this time. 

2 - Thursday 22 April 2021, 15:00 - 15:30 UTC: Finalist spotlight

The 5 most voted posters in the VP17 poster competition will be invited to give a 4 minute presentation and receive questions from attendees during this session. Make sure to promote your poster entry, and be ready to talk about it during the finalist spotlight! We will let you know on Thursday 22 April, 10:00 UTC if your entry has reached the top 5 voted posters. If you are unable to present during this session please let us know in advance.
