RDA's 17th Plenary April 2021 - Call for Co-located Events

If you or your colleagues are interested in organizing a specific open science or research data related event in the near future, you may want to consider co-locating it before or after the RDA 17th Plenary meeting(P17) scheduled 20-22 April 2021 in Edinburgh, UK.

RDA and the RDA 17th Plenary (P17) Programme Committee have decided to open the call for co-located events earlier than normal, in recognition of the additional complexities of organising an event in the current circumstances related to the COVID-19 pandemic.  

Given the current uncertainty with government measures around COVID-19, RDA’s 17th Plenary is planned as a hybrid event, accommodating both virtual and physical participation at the Edinburgh International Conference Centre. The virtual platform that will enable you to join us from around the globe, with more details to be announced in the coming months. 

As the safety of the community is our primary concern, should the situation develop in a way that we are not able to guarantee a physical presence, the meeting may shift to virtual participation only. Please keep that in mind when submitting your application. Sufficient notice and support in shifting your event to a virtual meeting, if you so wish, will be provided. 


At previous RDA plenaries, numerous organizations have opted to hold their own meetings at or nearby our meeting venue, leveraging the size and enthusiasm of the international data community present at each of those locations. At P17, we are anticipating another event that will be highly attended either virtually or in person when possible by its highly motivated community.  If your event will be focusing on showcasing your data-related work and/or synergizing with other data experts, co-locating with P17 will provide you an excellent opportunity to meet these objectives.  Please note that co-located events should NOT be organised on the same dates as the plenary meeting (20 – 22 April 2021).

To co-locate with RDA for P17, simply submit your application before 12 February 2021.

The Programme Committee will review all submissions and send out notifications of acceptance by 26 February 2021. Acceptance criteria will be based on the impact of the event as it relates to P17. Upon acceptance, the Organising Committee will assist you in locating a suitable venue or liaise with Edinburgh International Conference Centre for you, should you wish to hold your event at that venue.  If you need support finding a venue prior to the submission close date, please contact alexandra.delipalta@ed.ac.uk


Please note, venue hire, catering and technical support will need to be coordinated by you with the event venue of your choice and there will be associated costs. The Organising Committee will be able to steer you in the right direction in finding a venue in Edinburgh. The dates for co-located events are Monday, 19 April 2021 and Friday, 23 April 2021


Once the details of your event are confirmed, your event will be promoted alongside the P17 programme in all RDA communication channels.

Please note that we will work with government guidelines, and we may ask you to hold your event virtually.
If your event is planned as a hybrid, please indicate your venue requirements (number and layout of rooms, AV requirements). If you are planning to hold a virtual meeting only, please indicate whether you will be using your own platform and accounts (ie Zoom), if you would require support from the RDA P17 organisers.
