This meeting will provide a summary of activities of the PRO4RS working group which is co-convened by the RDA and the Research Software Alliance (ReSA). PRO4RS has investigated a range of aspects relating to research software policies and the meeting will share the conclusion of our work, plan

This will enable participants to understand how to increase policy-level recognition of research software and its personnel within research organisations. This can assist with provision of clearer incentives for research software development and personnel career paths, increasing research software sustainability.

We will update our WG members and attendees from the wider RDA community on how we have developed an enhanced understanding of the types of software-related policies that already exist within the research domain. We will also share the areas we have identified where current policies are lacking, and the case studies from within the community that have helped us to understand ways to promote improved awareness and adoption of software policies.

This meeting will also enable participants to input on dissemination activities to maximise impact, and future steps the community might want to take.

Meeting presenters

Michelle Barker, Daniel S. Katz, Hugh Shanahan, Pedro Hernández Serrano

Meeting agenda

  1. Introduction to the WG – creating a community of stakeholders involved in promoting and/or implementing policy that supports research software at research institution level
  2. Presentation of our completed WG outputs:
    1. List of institutional software policies
    2. Resources for supporting policy change in research institutions in practice
    3. Case studies of implementation of research software policies
    4. An analysis of research software policies in research-performing organizations
  3. Discussion on how to disseminate outputs to a broader audience for adoption, including university consortia

Target audience

This session will primarily target the PRO4RS WG members, updating them on our activities and providing an opportunity to get their input on our work. However, we also see this session as an important chance to engage with the wider RDA community and hope to be able to raise awareness of our work to the larger group of RDA Plenary attendees, such as those interested in other aspects of research software or research policy. In this context, our session is targeting any attendees of the Plenary with an interest in research software and how it is managed and supported within research-performing institutions.

Group Activities and Scope

An increasing number of initiatives are focusing on implementation of research software within the context of FAIR and open science. Efforts to align policies from funders, journals, and governments are also in progress. However, there is a significant gap around how research performing organisations can develop and implement policies to help sustainability of software outputs and underpin research quality. This WG has sought to create outputs to assist with this.  Ultimately, by establishing solid policies for research data and software management, institutions can promote good research practices, enhance collaboration, foster reproducibility, and maximize the value and impact of efficient and reliable scientific research.

Short Group Status

This group will have concluded its work in May 2025.
