• Achim Streit is a  director of KIT's Steinbuch Centre for Computing and the coordinator of the Big Data Activities within Germany's Helmholtz Association of national labs - (http://www.scc.kit.edu/en/staff/achim.streit.php). One part is the project "Large Scale Data Management and Analysis" with the introduction of Data Life Cycle Labs in which scientific communities are actively supported by data scientists (http://www.helmholtz-lsdma.de/56.php). This concept is rather successful and could be very interesting for RDA.

If we look at a Plenary entitled (something like) Building Global Partnerships for a worldwide infrastructure where the major infrastructures & service providers meet & share experience then we should invite:

Some initial thoughts/Ideas

• Couyncil wants to have a high-profile plenary session for the new Organizational assembly. Perhaps before the reception.
• All WGs and maybe IGs should report the first day (pech-kucha?).
  • AT: pecha-kucha would be good, provided chaired well
• There will be room for a Business Meeting (everyone), and also side meetings for the Organizational Assembly (orgs), Working Group Chairs meeting, TAB, Council + RDAC, etc.
• There will be welcomes by sponsors and a US, EU, other big shot speaker.
  • AT: would be good to get researcher perspective early on
• There will be panels that include some set of stakeholders.  I’m assuming that the Program Committee wants to propose these and these are precisely the folks that Hilary wants to publicize as soon as we can.
• Council update, new members and esp. new WGs. Keep it brief with time for questions
• OAB, TAB updates?
• RDA 101 (Conduct during parallel sessions)
• Do we need a plenum discussion session? If so, what are the topics? If we do this, maybe it should not be on last day.
  • AT: I think we need an open plenum session, a bit like the one we had in Gothenborg. Kevin Ashley would be great as facilitator if we can get him again
• Lots of time for WGs and BoFs. Probably need to run 8-10 parallel sessions (we had seven in Gothenberg).  At least 50% of Plenary 2 will be a working meeting
• Some groups will need more time than others. Established and responsive gropups should get priority. Currently we have requests for ~2 meeting room days.
• RM: minimize the number of simultaneous parallel sessions.  Many participants are providing input to multiple working and interest groups.
• RM: Please provide a session on interoperability between working groups.  RDA should explore how the multiple technologies or standards that are being explored can be integrated.  This can be done within a testbed such as the DataNet Federation Consortium, which also explores interoperability across systems.
• RM: Can you provide a session for demonstration of results from working and interest groups?  This could be run as a poster session, enabling participants to explore topics from sessions they were unable to attend.

• First arrange a launch event with high level presentations to show the communities about the commitments to get RDA running.
• Invite some science "rock stars" to show the case
  • AT: Agreed, where Science=Wissenschaft
• Present to the communities what has been done so far and by whom (show up faces)
• Enable a platform for the communities to come together to talk in working groups (this is the beef)
• Show clearly what the next steps will be to formalise the RDA

• we should include someone who can talk about methodology. We had some socio-tech points by Peter Fox in Gothenburg and I think we should leveraged this and keep this as a theme.

Two possible formats:

• The NAS Auditorium is great for the plenary but will not handle the breakouts well. We need to have breakouts in a nearby hotel. The likely hotel is about 6 blocks away
  • AT: We run the risk of losing energy with this arrangement. We'll need to block the breakouts together so that people don't have to keep switching venues
  • MP: just to clarify. The Breakouts will all be together in the hotel. Only the plenary sessions would be at NAS.
• Registration assumed to be $100. For Option 1, the registration is for all three days, but we may want to waive registration for certain “hardship cases”. For Option 2 registration is only for day 1 (and 3?). People can choose to just come for the working sessions.
  • AT: I prefer Option 2
