  • Farnam Jahanian (possible moderator)
  • Alan Blatecky (NSF)
  • Kostas Glinos - European Commission, Head of eInfrastructures
  • Need Australian representative

Possible Keynote Speakers:

Some initial thoughts/Ideas

  • Couyncil wants to have a high-profile plenary session for the new Organizational assembly. Perhaps before the reception.
  • All WGs and maybe IGs should report the first day (pech-kucha?).
    • AT: pecha-kucha would be good, provided chaired well
  • There will be room for a Business Meeting (everyone), and also side meetings for the Organizational Assembly (orgs), Working Group Chairs meeting, TAB, Council + RDAC, etc.
  • There will be welcomes by sponsors and a US, EU, other big shot speaker.
    • AT: would be good to get researcher perspective early on
  • There will be panels that include some set of stakeholders.  I’m assuming that the Program Committee wants to propose these and these are precisely the folks that Hilary wants to publicize as soon as we can.
  • Council update, new members and esp. new WGs. Keep it brief with time for questions
  • OAB, TAB updates?
  • RDA 101 (Conduct during parallel sessions)
  • Do we need a plenum discussion session? If so, what are the topics? If we do this, maybe it should not be on last day.
    • AT: I think we need an open plenum session, a bit like the one we had in Gothenborg. Kevin Ashley would be great as facilitator if we can get him again
  • Lots of time for WGs and BoFs. Probably need to run 8-10 parallel sessions (we had seven in Gothenberg).  At least 50% of Plenary 2 will be a working meeting
  • Some groups will need more time than others. Established and responsive gropups should get priority. Currently we have requests for ~2 meeting room days.
  • RM: minimize the number of simultaneous parallel sessions.  Many participants are providing input to multiple working and interest groups.
  • RM: Please provide a session on interoperability between working groups.  RDA should explore how the multiple technologies or standards that are being explored can be integrated.  This can be done within a testbed such as the DataNet Federation Consortium, which also explores interoperability across systems.
  • RM: Can you provide a session for demonstration of results from working and interest groups?  This could be run as a poster session, enabling participants to explore topics from sessions they were unable to attend.
From Leif re Plenary 1 goals:
  • First arrange a launch event with high level presentations to show the communities about the commitments to get RDA running.
  • Invite some science "rock stars" to show the case
    • AT: Agreed, where Science=Wissenschaft
  • Present to the communities what has been done so far and by whom (show up faces)
  • Enable a platform for the communities to come together to talk in working groups (this is the beef)
  • Show clearly what the next steps will be to formalise the RDA

Possible speakers:

  • Todd Park, CTO US govt?
  • Tony Hey, Microsoft Research (perhaps at reception he's sponsoring)?
  • Tom Kalil?
  • a non american or two
  • Farnham Jahanian
  •  Alexander Szalay
  • NCSA Director Thom Dunning
  •  Achim Streit is a  director of KIT's Steinbuch Centre for Computing and the coordinator of the  Big Data Activities within Germany's Helmholtz Association of national labs.
http://www.scc.kit.edu/en/staff/achim.streit.php   One part is the project "Large Scale Data Management and Analysis" with the introduction  of Data Life Cycle Labs in which scientific communities are actively supported by
data scientists. http://www.helmholtz-lsdma.de/56.php This concept is rather successful  and could be very interesting for RDA.
  • we should include someone who can talk about methodology. We had some socio-tech points by Peter Fox in Gothenburg and I think we should leveraged this and keep this as a theme.
  • others?

Two possible formats:

Note:
  • The NAS Auditorium is great for the plenary but will not handle the breakouts well. We need to have breakouts in a nearby hotel. The likely hotel is about 6 blocks away
    • AT: We run the risk of losing energy with this arrangement. We'll need to block the breakouts together so that people don't have to keep switching venues
    • MP: just to clarify. The Breakouts will all be together in the hotel. Only the plenary sessions would be at NAS.
  • Registration assumed to be $100. For Option 1, the registration is for all three days, but we may want to waive registration for certain “hardship cases”. For Option 2 registration is only for day 1 (and 3?). People can choose to just come for the working sessions.
    • AT: I prefer Option 2

Option 1. 3 half day breakouts

Monday, 16 September 2013
  • Morning:
    • Opening and keynote(s) [Tom Kalil? Todd Park? International Panel?]
    • Reports from first two Working Groups
  • Afternoon (box lunch?)
    • Breakouts at hotel (with some staying at NAS?) We’ll need to arrange time and space allocations recognizing that many people are on multiple groups.
    • In parallel:  Newcomer’s session
  • Reception (Where?) NAS?
Tuesday, 17 September
  • Morning
    • Affiliate Organizational Roundtable?
    • RDA Business meeting:
      • Council Report
      • TAB and OAB reports
      • Discussion
    • Reports from WGs approved since Plenary 1
  • Afternoon
    • Breakouts at hotel (with some staying at NAS?)
    • Council and Funders meeting (closed)
    • TAB meeting?
    • OAB meeting?
    •
  • Conference Dinner
Wednesday, 18 September
  • Morning
    • Interest Groups and Candidate Working Groups Pecha Kucha
    • Introduction of Plenary 3
  • Afternoon
    • Breakout rooms available at hotel for those interested
    • Planning group for Plenary 3 Data Summit?

Option 2. 1 full day for breakouts

Monday, 16 September 2013
  • Morning:
    • Opening and keynote(s)
    • Funder panel
    • Council report (new WGs, key decisions)
    • WG/IG reports (what has been done!)
  • Afternoon
    • (RDA Business meeting):
      • Affiliate Org panel
      • TAB and OAB reports
      • Discussion
  • Reception (Where?)
Tuesday, 17 September
  • Breakouts all day. Allocations of time and space would depend on the nature of the groups. Also need to recognize that some people will want to attend multiple breakouts.
  • Dinner (where?)
Wednesday, 18 September
  • Morning
    • WG/IG reports from previous day
    • Plenum discussion and future steps

Data Citation Side meeting plans from Jan Brase and others:

We understand that the RDA meeting will be from the 16th – 18th (ending noon?)
If there is time given in the RDA meeting schedule on Wednesday afternoon, we would schedule a CODATA task group meeting Wednesday afternoon, continuing on Thursday morning at the same venue.
Approximately 30-40 people
The plan is to present (and prepare) a High level policy statement on what are the core best practises to reach the decision makers. We will try to find a way to position DataCite and RDA in there, as well.

The DataCite meeting will be 19th - 20th also at the National Academies. Starting Thursday (13:30), Ending Friday (12:30).
We have no theme for it yet, we are waiting for some more details about the RDA meeting to try to find the best way that these events will compliment each other.
The Organisers will be: Patricia Cruse (CDL) and me

We will Co-brand it with NAS Washington (Board on Research Data and Information) and have a Codata slot on the DataCite meeting agenda to present at least the work of the task group.
The DataCite summer meeting will likely be registration free event. We also have a Budget for a reception.

The aim is to have official announcements in May?

Why the difference between Option 1 and 2 on when they end on Wed.?  Option 2 has only a morning session.
I like the arrangement of Option 2 up to that point.

What ever option it is called we need to prefer the alternative with as much breakout sessions as possible. This is a clear message from everyone. Like Gary is saying option 2 up to Wednesday and Wednesday from option 1. However, arrangaing the breakout sessions in a way enabling people to participate in ss many as possible will be a major optimization rask.

I also think that sessions in the morning where someone reports (WG/IG?) from the sessions previous day is a good idea as we need to promote interaction between people, IG/WG and breakout groups.

    - Speakers:  great suggestions put forth for various presenters!  it's as little hard to follow the full list, so it would be good to collocate them all in a single place for making determination.    we should keep in mind to aim for diversity of presenters too, e.g. global, disciplinary, etc. in terms of representation.
    - WGs/IGs meeting time.  yes to more time for WG/IGs meetings/discussion.  we may also consider allowing flex time for BOFs, informal meetings, or WGs and IGs to claim more time, or co-meetings.  something like this can help facilitate new WG/IGs and allow for WGs where the is cross-over to continue to understand where/how they diverge so we don't get to unhealthy overlap.
    - Young researchers/sudents:  would we want to consider lightning talk in any venue?  something like this could add to the openness flair.  perhaps this is something where we might engage graduate students or young researchers.  The open spirit aligns w/RDA's objectives
    - Industry/other communities. We may also consider reaching out to folks form industry engaged in data activities and funding.  i think Paul used the word corporate, or something.
    best, j

    Thanks for the feedback.

Here's the general structure of the meeting:

day 1 all plenary with reports from the official WGs at NAS
day 2 all breakouts at the hotel (with room for BoFs in the morning and evening)
day 3 half day plenary at NAS with report outs from all the groups plus a moderated discussion. The second half of the day would be open for side meetings at NAS.

Sayeed will send out a fuller draft schedule soon.

    cheers,

    -m.

I like the idea of posters. The initial reporting from WGs/IGs could be done via posters - it'd help to get more time slots for discussions and breakouts and make WGs' results more visible to as many people as possible.

Pecha-kucha is also a good way to speed up the initial reporting.

If technically possible I would also support the idea of having posters for

    - additional presentation of the working groups

    - introduction of (new) interest groups

    - highlighting gained results and cross-group activities
