    I’ve uploaded in this folder

    the materials that we have ready so far to be sent for printing in Botswana:
    * General roll-up
    * New roll-up (the one with the cards) – if you like it. If you prefer
    to just have the first one that would be fine as well

    Hi Sara,
    I am really uncomfortable with the EU regional work being added to the P12 international displays especially for IDW with many non-RDA members in attendance. I think we need to be clear on our (international) organizational mission and programs. We already have feedback that RDA is too big and complex, and promoting one region’s work at plenaries doesn’t help this impression. Maybe in the future the Regional Engagement component will be formal, or we can decide on a poster session (?) for regional work, but adding pop-up banners with EU-specific programs right now makes RDA look like a European organization imo.

    Sara –
    The EU notes poster was already sent to the event manager for printing. Should I ask them to print this latest version instead?
    Let’s hold off on sending any others to them until they are finalized.

    Dear all,
    I am also uncomfortable with putting so much focus on RDA Europe for the
    official RDA displays. RDA is already perceived as having a too-strong
    focus on Europe, and these reinforce that perception.
    If these were meant as regular posters for the poster session, I’d feel
    more comfortable.
    In any case, even for “regular” poster session posters, I think it needs to
    be much clearer that these are RDA Europe initiatives and not RDA
    initiatives.
    For example, the nodes poster has “RDA Europe Nodes” as its title, but the
    subheadings only talk about “RDA nodes”, “national nodes”, and “RDA
    national nodes”.
    There is no mention that only European institutions are eligible – in fact,
    the “Become a new node” bit in the blue box does not mention this at all,
    which I find misleading.
    Just my 2 c…

    Just as an aside, I just came across this page:

    I think the title is wrong – these are not “RDA 12th Plenary – Early
    Careers and Experts Grant winners”, they are “RDA* Europe* 12th Plenary –
    Early Careers and Experts Grant winners”.
    The same goes for the subheadings – in my opinion, they should be “*RDA
    Europe* Early Careers Researchers and Scientists working with Data” and “*RDA
    Europe* Data Experts” (my emphasis).
    I think we need to make these distinctions very clear.

    paid by European taxpayers money – every outreach activity, whilst
    clearly needing to support the RDA guiding principles, also needs to
    demonstrate the European added value towards its funder, the European
    Commission. In case of financial audits (to which all of the European
    organisations involved/ RDA Europe beneficiaries may be due), their
    level of support (i.e. effor, i.e. funding) may be questioned. And, we
    also go through interim reviews where we are monitored by externals on
    your financial spending & resource activity clearly budgeted & claimed
    under RDA Europe 4.
    Last comment, we are dedicating a lot of effort in pulling out adoption
    stories since they represent one of the major KPIs that we have to meet
    in Europe to demonstrate the value of RDA (at global level), so we are
    really looking forward to see a global – collaborative – adoption
    programme flying, with tangible cases of adoption from any regions. We
    are leading this activity in Europe, but we are really open to learn and
    get inspiration from any other region. We could also support the graphic
    design for any other US or Global focused RDA poster, we should still be
    in time for that.

    To the whole secretariat, I would like to add an item for face to face
    discussion at the secretariat meeting on this so it is clarified once and
    for all and there is NO further misunderstanding.
    We are all part of a global endeavour with different, important and
    essential regional contributions being made. All regional efforts go to
    support our overall vision and mission and I would like this to be at the
    forefront of the secretariat’s mind.

    Sara –
    Thanks for forwarding to me. I circulated the P13 poster within the US office and we respectfully request a few updates:
    1 – Instead of “Organized by RDA and Drexel University”, replace to state “Organized by RDA-United States and Drexel University”
    2 – Remove the reference to the RDA Europe Career program as it is a regional program and this poster’s objective is to promote a global event
    I’ll send the Adoption poster to the printer today and await the above requested edits before I send the P13 one. Thank you!

    Hi Yolanda,
    Ok for the first point , but honestly, there should be a global interest in having European participants to P13. What’s the point in removing the call for the Early Careers and Experts? This does not help promoting RDA mission globally, in our view. I am sorry, but we would like not to remove that sentence.
    Tomorrow there is a public holiday here in Europe, I can send you the edits on Friday, not before unfortunately, I hope this won’t be an issue.

    Hi Sara,
    The hope is not to discourage EU participants, but to represent RDA as a much larger global community, of which EU members are a single part. Highlighting EU opportunities on global announcements makes RDA seem unwelcoming to non-EU members who do not have access to similar opportunities. The announcements you are requesting only apply to a fraction of RDA members and IDW participants, and as such, are inappropriate for global announcements.

In case of financial audits (to which all of the European organisations involved/ RDA Europe beneficiaries may be due), their level of support (i.e. effor, i.e. funding) may be questioned. And, we also go through interim reviews where we are monitored by externals on your financial spending & resource activity clearly budgeted & claimed under RDA Europe 4.
    Last comment, we are dedicating a lot of effort in pulling out adoption stories since they represent one of the major KPIs that we have to meet in Europe to demonstrate the value of RDA (at global level), so we are really looking forward to see a global – collaborative – adoption programme flying, with tangible cases of adoption from any regions. We are leading this activity in Europe, but we are really open to learn and get inspiration from any other region. We could also support the graphic design for any other US or Global focused RDA poster, we should still be in time for that.

    Thanks Sara and Lynn. You both have great points and I think there’s a way to reach a common ground. A good solution may be to use the version developed by Sara’s team near the Early Career area (as Sara suggested below), and we can develop a second one that incorporates the styles/themes of our current collateral promoting IDW, which will be displayed with the rest of the posters.
    Let’s definitely talk more next week about regional vs global, though, so that we can all have the same understanding going forward.

    Hi all,
    Catching up on my e-mails as I was travelling early this week. Although European, I don’t fully share some your concerns. We should all be contributing towards RDA Global from our regions as Hilary said, one way or another. @Hilary, it would be good if you can clarify this at the first opportunity during the plenary.
    Your proposal with two (or more posters) Yolanda is a good one, although it may be better to advertise something P13 US-related, e.g. do you have a related early career thing for the US or some other US-opportunity announcement for P13? Don’t understand how something on P12 can be put in a poster for P13 (unless I got it wrong and you refer to something else?) But of course the second poster is your responsibility.
    @Hilary, not sure how many people have managed to pay the registration fees; it would be good to try to understand this as soon as you are there. If the number is big (>100-150 persons), it would be good if the locals organise a special reception desk for unsettled payments with a couple of POS machines and open this as early as possible (even on Sunday to avoid big queues and people dissatisfaction).

    Thanks Sara and Lynn. You both have great points and I think there’s a way to reach a common ground. A good solution may be to use the version developed by Sara’s team near the Early Career area (as Sara suggested below), and we can develop a second one that incorporates the styles/themes of our current collateral promoting IDW, which will be displayed with the rest of the posters.
    Let’s definitely talk more next week about regional vs global, though, so that we can all have the same understanding going forward.

    The hope is not to discourage EU participants, but to represent RDA as a much larger global community, of which EU members are a single part. Highlighting EU opportunities on global announcements makes RDA seem unwelcoming to non-EU members who do not have access to similar opportunities. The announcements you are requesting only apply to a fraction of RDA members and IDW participants, and as such, are inappropriate for global announcements.

    The resources that contribute to RDA with an “RDA Europe 4 hat on” are paid by European taxpayers money – every outreach activity, whilst clearly needing to support the RDA guiding principles, also needs to demonstrate the European added value towards its funder, the European Commission. In case of financial audits (to which all of the European organisations involved/ RDA Europe beneficiaries may be due), their level of support (i.e. effor, i.e. funding) may be questioned. And, we also go through interim reviews where we are monitored by externals on your financial spending & resource activity clearly budgeted & claimed under RDA Europe 4.
    Last comment, we are dedicating a lot of effort in pulling out adoption stories since they represent one of the major KPIs that we have to meet in Europe to demonstrate the value of RDA (at global level), so we are really looking forward to see a global – collaborative – adoption programme flying, with tangible cases of adoption from any regions.     Dear All,
    I think the proposal from Yolanda to create 2 versions is a good idea. The
    one with the announcement on the EU grants for P13 is good for the experts
    & early careers corner.
    There should be an overall poster for P13 that the US office and any other
    (non EU) RDA community member can use to promote the event available.
    I realise the time limitations now with the bank holiday in Italy today,
    but please make the changes to the poster tomorrow asap and ensure that the
    RDA US is given visibility as they are the major sponosrs of this event
    with Drexel. Thene if there are 2 versions created (1 with EU programmes &
    1 general), we can try to have them printed in time for Monday morning.
