Closing RDA Groups
Sometimes an RDA group needs to close. The information below explains which group types get closed under what circumstances, and what the processes for closing them are.
Closing Working Groups
| Circumstances | Resulting Group Type | Resulting Group Stage | Resulting Status |
|---|---|---|---|
| WG is rejected | Historical | Not Applicable | Withdrawn |
| WG does not complete the endorsement process | Historical | Not Applicable | Withdrawn |
| WG is inactive before lifespan is up (including no plenary session application (Joint session or Group session) at 3 consecutive Plenary Meetings.)(The group becomes unresponsive to the TAB Liaison’s and Secretariat’s request for response for a period of more than 6 months. The TAB Liaison or Secretariat should make at least three attempts at least one month apart to contact all WG/IG chairs during this period.) | Historical | Not Applicable | Withdrawn |
| WG has delivered their Recommendation(s) and wishes to disband | Historical (unless there is an intention to maintain) | Completed | Completed |
| WG has come to the end of its lifespan and Secretariat has received no Recommendation after requesting it over a certain period of time (1 year?) | Historical | Not Applicable | Withdrawn |
| Maintenance WG has been a maintenance group for at least 1 year, but has shown no activity (no Plenary sessions, no new Web content, no new publications, no Webinars), Secretariat has contacted the group, and there are no plans to do any of these activities. | Historical | Not Applicable | Completed |
| WG decides to withdraw | Historical | Not Applicable | Withdrawn |
NB: WGs that have provided their Recommendations, but wish to continue as maintenance groups are still considered active, not “closed”. They can still request sessions at Plenaries, so their chairs keep the role “group chair”, and their chairs stay members of the WG and IG Chairs’ group. Maintenance groups will not have Secretariat Liaisons and may not have TAB Liaisons, but can use enquiries<at>rd-alliance.org to connect with the governance bodies as needed.

Process for Closing an IG / WG
The following steps will be taken by the Secretariat when closing a group once the timeline indicated has passed.
- If there is no response by the deadline or if group closure is agreed, a post will be made on the group web space indicating that it is being closed and why.
- The group stage and status will be changed by the Secretariat as outlined in the tables above
- The group type will be changed to “Historical Group”
- The following contact changes will be made:
- Replace any Secretariat liaison for the group with “[email protected]”
- Remove TAB Liaison
- Group chairs: if the chair is chairing any other current (i.e. non-historical) group then they will continue to be subscribed to the WG & IG chairs coordination group. If not, they will be removed by the Secretariat
